NCS CAFARELLI BASEBALL TOURNAMENT FREQUENTLY ASKED QUESTIONS

​Find answers to the most common questions about NCS Cafarelli Baseball tournaments, rules, registration, and event policies.
GENERAL TOURNAMENT INFORMATION
WHAT IS NCS CAFARELLI BASEBALL?
NCS Cafarelli Baseball hosts competitive youth and high school baseball tournaments designed to provide a safe, organized, and fair playing environment.

WHERE ARE NCS CAFARELLI TOURNAMENTS HELD?
NCS Cafarelli hosts tournaments in Arizona, Idaho, Nevada, Oregon, and Washington. Tournaments are hosted at various facilities and complexes throughout those states. Specific field locations are listed on each tournament’s event page.

WHO CAN PARTICIPATE IN NCS CAFARELLI TOURNAMENTS?
Participation is open to eligible youth and high school teams that meet age, roster, and registration requirements. A team needs to be sanctioned through our national office. That is an $85 annual fee - good for 1 year from date of purchase.

DO I NEED TO BRING PROOF OF AGE OR ROSTER DOCUMENTS?
Teams should be prepared to provide proof of age and/or roster documentation if requested by the Tournament Director. Failure to provide required documentation upon request may result in penalties or player disqualification.

ARE GATE FEES CHARGED?
Gate fees may be charged at certain facilities or events. Any applicable gate fees will be listed on the individual tournament event page or communicated by the Tournament Director.

ARE OUTSIDE FOOD AND COOLERS ALLOWED?
Outside food and coolers are subject to the rules of each facility. Some complexes may restrict outside food or coolers. Coaches, parents, and spectators are responsible for reviewing and complying with facility-specific rules.

ARE PETS ALLOWED AT TOURNAMENT FACILITIES?
Pet policies vary by facility. Many complexes do not allow pets. Please review the facility rules listed on the event page or contact the Tournament Director prior to the event.

WHAT HAPPENS IF A TEAM NO-SHOWS?
Teams that fail to appear for a scheduled game or tournament without prior notice may forfeit all games, entry fees, and any future credits. Additional penalties or suspension from future NCS Cafarelli events may be imposed at the discretion of the Tournament Director.

REGISTRATION AND PAYMENT
HOW DO I REGISTER MY TEAM FOR A TOURNAMENT?
​Teams must register online through the Events section of the PlayNCS National Website.

WHEN IS PAYMENT DUE FOR TOURNAMENT ENTRY?
Payment is required at the time of registration unless otherwise stated on the event page. Final payment is due at least one week (7days) prior to any tournament.

WHAT PAYMENT METHODS ARE ACCEPTED?
​There are 3 different payment method options available, and they can be found here. Major credit cards are accepted through the online registration system. Please note, tournament spots are only guaranteed upon receipt of full payment.

ARE CREDIT CARD PROCESSING FEES REFUNDABLE?
No. Credit card processing fees are non-refundable.​

CANCELLATIONS, CREDITS, AND REFUNDS
WHAT IS YOUR REFUND POLICY?
NCS Cafarelli does not issue refunds after payment has been made, but in most circumstances, full or partial credit will be given toward future events.

​WHAT HAPPENS IF A TOURNAMENT IS CANCELLED DUE TO WEATHER?
If an event is canceled due to weather or unforeseen circumstances, teams may receive a credit toward a future event based on the number of games played.

​CAN CREDITS BE TRANSFERRED TO ANOTHER TEAM OR DIRECTOR?
​No. Credits are non-transferable and must be used by the same team with the same tournament director.
​
​HOW LONG ARE CREDITS VALID?
​Credits must be used within the same season or within 180 calendar days, whichever comes first.

RULES AND GAME PLAY
WHERE CAN I FIND THE OFFICIAL TOURNAMENT RULES?
Standard NCS rules are available on the Rules page. Event-specific rules are listed on each tournament’s event page.

CAN INDIVIDUAL TOURNAMENT DIRECTORS HAVE DIFFERENT RULES?
​Yes. Tournament Directors may implement event-specific rules. Coaches are responsible for reviewing the Event Details for each tournament.

ARE ROSTER LIMITS OR AGE RESTRICTIONS ENFORCED?
​Yes. Teams must comply with age divisions and roster requirements listed in the tournament rules. Please be sure to have your complete player roster entered on our website.

SCHEDULES AND FORMAT
WHEN ARE SCHEDULES RELEASED?
Schedules are typically released a week before the tournament begins, and are subject to change if teams are added or dropped last minute. If a tournament starts on Saturday, February 21st, the schedule for that tournament will typically be released on Friday, February 13th, but no later than Monday, February 17th.

CAN TOURNAMENT FORMATS OR SCHEDULES CHANGE?
We do our best to try and make sure this does not happen, but Yes formats and schedules can change. NCS Cafarelli reserves the right to adjust schedules, formats, and game lengths due to weather, field conditions, or other circumstances.

HOW MANY GAMES ARE GUARANTEED?
Game guarantees vary by event and are listed on each tournament’s event page. A standard tournament will have a 3-game guarantee, while many of our summer tournaments will have a 4-game guarantee. Our world Series event has a 5-game guarantee.

FACILITIES AND SAFETY
CAN FIELD LOCATIONS CHANGE?
Again, we try to avoid this at all costs, but Yes field locations can change sometimes. Field sites may be changed when necessary due to weather, field conditions, or facility availability.

WHO IS RESPONSIBLE FOR PLAYER AND SPECTATOR SAFETY?
Players, coaches, and spectators attend events at their own risk and are responsible for their personal safety while on site.

CONDUCT AND SPORTSMANSHIP
IS THERE A CODE OF CONDUCT?
Yes. All players, coaches, parents, and spectators are expected to follow NCS Cafarelli’s code of conduct. NCS Cafarelli has a zero tolerance policy towards disrespectful and adverse behavior.

WHAT HAPPENS IF A TEAM VIOLATES TOURNAMENT RULES OR CONDUCT POLICIES?
Violations may result in penalties, removal from the event, or future suspension at the discretion of the Tournament Director. Any fan, parent, player or coach will be ejected from the event for adverse behavior towards a tournament official or umpire.

WORLD SERIES EVENTS
ARE WORLD SERIES EVENT FEES REFUNDABLE?
No. Entry fees, deposits, and lodging buyouts for World Series events are non-refundable under any circumstances.

CAN TEAMS DROP OUT OF A WORLD SERIES EVENT?
Teams may withdraw, but all associated fees will be forfeited.

STAY-N-PLAY POLICY
WHAT IS STAY-N-PLAY AND HOW DOES IT WORK?
Stay-N-Play tournaments require participating teams at select NCS Cafarelli tournaments to book lodging through NCS-approved hotels. This ensures quality accommodations, supports the event, and keeps entry fees affordable. Teams must use the booking links provided on each tournament’s event page to book their lodging.

WHICH TOURNAMENTS REQUIRE STAY-N-PLAY?
Most NCS Cafarelli tournaments are not Stay-N-Play, but for select NCS Cafarelli tournaments, including certain showcase and World Series events, Stay-N-Play is required. Each tournament’s event page will clearly indicate if Stay-N-Play applies, so coaches and teams should review event details prior to registration.

ARE TEAMS REQUIRED TO BOOK THROUGH APPROVED HOTELS?
Yes. Teams participating in Stay-N-Play events are required to book lodging through NCS-approved hotels or the official housing provider to support tournament operations and maintain affordable entry fees.

WHAT HAPPENS IF A TEAM DOES NOT COMPLY?
Teams that fail to comply may be subject to penalties, including removal from the event without refund or credit, at the discretion of the Tournament Director.

IS THERE A BUYOUT OPTION?
Teams may opt out of Stay-N-Play by paying a $1,000 buyout fee to NCS. The fee must be submitted before the tournament, and all other tournament rules and policies still apply.

​ARE THERE EXCEPTIONS TO THE STAY-N-PLAY POLICY?
Exceptions are rare and may be considered only under special circumstances. All exemption requests must be submitted in writing and approved by the Tournament Director prior to booking accommodations.

COMMUNICATION AND SUPPORT
WHO SHOULD I CONTACT WITH QUESTIONS ABOUT A SPECIFIC TOURNAMENT?
Questions should be directed to the Tournament Director listed on the event page under the "Contacts" tab.

HOW WILL WEATHER DEPAYS OR CHANGES BE COMMUNICATED?
Updates are typically communicated through the website, email, and/or event communication tools.
